Brandeis University seeks to hire an Academic Administrator to oversee daily operations and administrative support for the Department of Near Eastern and Judaic Studies (NEJS), to ensure smooth and efficient student-centered functioning. Evaluate data collection processes and recommend improvements. Curate website and other communications. Plan and manage departmental events. Independently assist the Chair, Associate Chair, DGS (Director of Graduate Studies), and UAH (Undergraduate Advising Head) with a wide variety of administrative functions and projects. Manage NEJS office. Supervise part-time Department Coordinator as well as student workers who perform more routine tasks.

Job Description

General administration and projects: Manage NEJS Department office; assist Chair and Associate Chair with day-to-day administration and projects, overseeing student workers who perform the more routine tasks. Includes: Creating, organizing and maintaining files/records, recommending process improvements, ordering supplies/inventory, creating content for and maintaining department website, managing listservs, sending announcements, keeping track of departmental calendars, coordinating department/program meetings and recording minutes, assisting Chair with annual department planning memo process. Also includes managing the Lown Building within which NEJS is located: Coordinating with Facilities around minor issues and capital projects, maintaining copiers and water coolers, and serving as the point of contact on classroom access issues. 25%
Curriculum: Provide general advice to students, fielding inquiries regarding major and minor requirements; attend Students Day and Academic Fair to answer questions about department curriculum. Coordinate annual course scheduling, spearhead annual Bulletin review, manage cross-listing requests. Acquire and apply knowledge of degree program requirements in providing guidance to students. 20%
Graduate Affairs: Oversee admissions and recruitment for department or program graduate study. Participate in the admissions process by acting as a liaison between applicants/prospective students, GSAS, the Director of Graduate Studies and other pertinent faculty and staff. 15%
Faculty support: Serve as a resource or point person to faculty on questions regarding technology, institutional or departmental policies and other general information. Manage logistics of faculty searches, schedule meetings and make travel arrangements, assist with new course approval process. Organize tenure and promotion cases as applicable, support faculty with course preparation and expense reconciliation. 15%
Budget management: Manage department or program budget and track related expenditures (OP EX, GTR, gift accounts, as applicable). Track payroll and oversee processing of fiscal related requests. Provide reporting and analysis to management periodically. 10%
Event planning: Manage virtual and/or live event planning for the department. Mentor student workers who perform assigned tasks. Liaise with speakers/visitors as necessary, coordinate travel, reserve meeting space, order food, coordinate with central Conference & Events. Create communication and publicity materials, coordinating with central Communications to ensure consistent messaging and branding. Assist with publicity. 10%

Skills & Qualifications:

Education: B.A./B.S. required. Master’s preferred

Work Experience: 3-5 years

The person in the Academic Administrator position must be organized, have excellent communication skills, able to learn new technologies, and ability to manage multiple priorities.Experience with expense/budget management a plus.
